Mediation Case Flow

This template tracks a mediation matter from first contact to a signed settlement or a documented impasse — built for community mediation centers and solo or small-practice mediators.

Why use it

Mediation has real procedural guardrails: the conflict check before you take the case, the Agreement to Mediate before anyone sits down. This flow bakes those checkpoints in, so every matter clears them in order and nothing starts on the wrong foot.

What it covers

• Inquiry and intake — a party reaches out; collect background and explain the process and fees.
• Screening and conflict check — confirming there's no conflict of interest and the case suits mediation, with a built-in check so nothing proceeds until it's cleared.
• Agreement to Mediate — all parties sign before sessions begin.
• Scheduling and preparation — setting the session and gathering pre-session materials.
• Mediation sessions — the sessions themselves, with a path back to scheduling when the parties need to reconvene.
• Settlement — the agreed terms go in writing, and the matter closes as settled.

Matters that reach impasse, or where a party withdraws or declines, land in a clear closed stage — reopenable if the parties return to the table.

Multiple sessions are normal

Mediation rarely finishes in one sitting. The flow expects that — reconvening loops back through scheduling as many times as the matter needs.
