Reports

Reports turns the information your team is already recording into useful numbers and clear program insights. You don't enter anything new here. Reports simply pull together the work already recorded in the portal.

Who is Reports for?

Reports is mainly for the people who need to pull information together for funders, boards, or partner agencies. It's not something most staff will use every day, and many staff members may never need to open it.

That's why access to Reports is limited. It only appears in the menu for people with a workspace-wide or intake role. If your role is limited to Groups or Events, you won't see Reports at all.

Some actions require additional permissions. Saving a filing, verifying it, or marking it as submitted requires an admin or intake manager role. See Roles and permissions for more information.

You don't need Reports just to get numbers out

If you just need information from one area of the portal, you can usually export it directly from there.

For example, in Groups, open a group and select Export to download the roster or attendance grid. See Exporting.

Reports is most useful when you need to pull figures together across an entire initiative or keep a record of what you submitted to a funder.

What can I find in Reports?

Open Reports from the menu to see the available reports. Reports are grouped by the part of the portal they pull information from.

You'll find Intake reports and Groups and Outreach reports. More sections will be added as other areas of the portal are ready.

What's the difference between a listing and a filing?

Every report is either a listing or a filing.

  • Listing: Shows your current records on screen or lets you export them. Nothing is saved, so running the report again later may give you different results.
  • Filing: Creates a saved snapshot of your numbers that you can verify and mark as submitted. This gives you a record of exactly what you sent to a funder.

Remember: Reports can only show what was recorded

If a case wasn't opened, a step wasn't moved, or attendance wasn't recorded, the report can't count it. When something looks lower than expected, check the original records first.
